REGISTRATION

Registration forms (with the registration fee) are accepted on a rolling basis.  Spaces are limited!!! Registration forms can be found on our website: Extended Day - Community Education

Children may only be registered in one program/location.

PowerSchool, the parent portal, needs to be updated for each child with all pickup and emergency information. Go to https://powerschool.abschools.org  to access PowerSchool.

PHOTO IDENTIFICATION IS REQUIRED for all persons picking up children from Extended Day. 

This includes parents who are unknown to the staff. No exceptions will be made. Please be sure to update PowerSchool to indicate the people you wish to be able to pick-up your child. If there is anyone who legally is not allowed to pick up please provide legal documents to Erin Bettez.

TUITION

Tuition is based on a flat yearly rate, which is then divided into 10 equal monthly payments. The first payment for June 2022  is due upon registration. The June 2022 payment is non-refundable. Should your child’s schedule increase during the year, you will be charged the incremental increase for the June payment.

Invoices are emailed monthly on the 15th of the month. Tuition for the months of September through May is due by the 28th of the preceding month. (example, October tuition is due September 28th).

Paying by cash or check:

Checks should be made payable to: Acton-Boxborough Community Education and may be mailed or brought to: A-B Community Education, Administration Building, 15 Charter Road, Acton, MA 01720. There will be a $25.00 charge for checks returned from the bank.  There is a dropbox located at the front door of our building.

You will be emailed a confirmation (from UniPay) after each online payment and this will serve as your monthly receipt.

CHANGING SCHEDULE/REDUCING DAYS

Written notice is required.  Please complete this schedule change form by the 10th of the month if you wish to add or reduce days to your child’s schedule  effective the following month. If requests are made by the 10th of the month prior to the change, you will receive an adjusted invoice reflecting that change.  However, if the request is made after the 10th of the month prior, the amount invoiced on the 15th of that month will not change.  The reduced amount will be reflected in the subsequent month’s invoice.  

FLEXIBLE SPENDING ACCOUNTS/RECEIPTS

Extended Day prepares and emails statements to all families twice a year, at the beginning of January (covering payments made August through December) and in June (covering payments made January through June). These statements are signed and include our Tax ID number and may be used for flexible spending claims. We do not sign additional forms.

LATE PAYMENT FEES

$10.00 is charged when tuition is unpaid two weeks after the due date, with an additional $5.00 per week charged thereafter. All late payment fees not submitted will be added to the following month’s tuition and fees.

Please note: No tuition refunds are given for absence or illness

LATE PICK-UP

Extended Day closes promptly at 6:00 p.m. After 6:00 p.m., you will be charged a late pickup fee of $2.00/minute.

Chronic lateness--more than 5 late pick-ups--will result in late pickup fees of $3.00/minute.

Continual chronic lateness--more than 7 late pick-ups-- will result in a charge of $4.00/minute. Late pick-ups that occur after the final tuition has been paid will be billed and must be paid before June 30. Failure to do so may jeopardize registration for the following year.

ABSENCES

If your child will not be attending Extended Day on a scheduled day, it is your responsibility to call the Extended Day program on the morning of the absence. Please leave a message on the voice mail.  For ALL sites, except Douglas, please call 978-266-2525 and follow the prompts to reach your child’s program. For Douglas, please call: 978-596-0585.

Children who are  sick and do not attend any portion of the school day due to illness are not permitted to attend Extended Day.

LUNCH ON WEDNESDAYS

Lunch is available to order for your child on Early Release Wednesdays.  Orders will be placed by their classroom teachers.  All children are eligible to receive one free lunch per day.  Children will bring the lunches with them and will eat them while at Extended Day.  Children are also welcome to bring packed lunch from home.

BEHAVIOR GUIDELINES

Our professional staff is experienced in handling various behavioral situations. We incorporate a variety of positive techniques, such as encouragement, problem solving conversation, "cooling off time," redirection to a more positive activity, and humor. It is anticipated that children will cooperate with our general rules of respect for self, others, and property, and will comply with teacher directions regarding safety issues. Refusal to do so may result in a child's having to be picked up immediately, and/or to miss

at least one day of the program. Other actions that may result in missing at least one day of the program are hurting another child or a teacher, or endangering the well-being of themself or others, or leaving the program without a parent or specific permission from a parent or teacher. Chronic refusal to comply with the general behavioral expectations of the program may result in a temporary or permanent removal from the program. These matters are decided by the teacher and the Community Ed. Director, with input from the parent(s)/guardian(s).

ILLNESS/EMERGENCY

If your child is ill, they should not attend Extended Day. If your child becomes ill while at Extended Day, it is your responsibility to see that s/he is picked up immediately. If your child does not attend school during a particular day, s/he may not attend Extended Day on that day. There is no nurse present during our before and after school program.  In an emergency, 9-1-1 will be called.

MEDICATION

If your child must take medication while at the program, it must be in the original prescription container and be accompanied by a Physician's Order, and a program form signed/dated by the parent giving the child permission to administer his/her own medication under the DIRECT supervision of an adult staff member. Please complete and return this Medical Form if applicable.

NON-DISCRIMINATION POLICY

The Acton-Boxborough Community Education Program does not discriminate on the basis of race, color, national origin, gender, age, religion, sexual orientation, veteran status or handicap in admission or access to, or treatment or employment in, its programs and activities.

PARENT CONFERENCES/INPUT

Extended Day does not plan regular conferences to discuss your child's progress, etc. Please be sure to contact your child's Extended Day teacher if you ever wish to schedule a formal conference or meeting. Daily conversation at pick-up or drop-off time also is encouraged. A survey is given to parents each June, and we encourage parents to give us their input.

STAFF/RATIOS

Our staff is comprised of Head Teachers, all of whom have a Bachelor's degree in Education or a related field or an Associate Degree; Assistant Teachers (adult); and High School aides who work with the adult teachers. All adult staff members are required to have current First Aid/CPR certification and undergo relevant background checks.  Our student to staff ratios generally range from 8:1 to 11:1. Our maximum ratio is 13:1. Our field trip ratio is 10:1, or lower.

TRANSPORTATION

Transportation between home and Extended Day is the responsibility of the parents. Transportation between school and the Administration Building Extended Day Program will be by school bus or “walking bus.”

For the safety of your child: If anyone arrives to pick-up a child and appears to be under the influence of alcohol or drugs, the staff will offer to contact someone else to pick up. If the driver refuses, the staff member is required by law to contact the Department of Social Services and the Police Department.

VACATIONS / HOLIDAYS / SNOW DAYS

We follow the school calendar; therefore, Extended Day is not open during school vacations, on school holidays or on days when school is canceled due to weather, etc. Should there be a delay in the opening of school; the opening time of Extended Day is delayed by the same amount of time. If schools dismiss early due to inclement weather, Extended Day will be closed and you will need to make sure you have back-up arrangements in place with your child’s school.

On the Wednesday prior to Thanksgiving and on the last day of school, Extended Day closes at 3pm

NON SCHOOL DAY COVERAGE

If you are looking for coverage when the children are not in school, please contact the Community Education office, Bernadette Keegan at bkeegan@abschools.org , for information on classes and programs offered during vacation weeks and some “No School Days.”

COMMUNITY EDUCATION CLASSES

Community Ed. offers some before and after school enrichment classes at the schools.  If you wish to register your child for a class offered through our Interaction catalog, please be sure the class is in the same location as your child’s Extended Day program as there is no transportation provided from Extended Day.   It is very important that you notify your child’s Extended Day teacher that the child is taking a class so the teacher can arrange for him/her to be brought to and from the class.

WITHDRAWAL OR LEAVING FROM PROGRAM

If you plan to entirely leave or withdraw your child from the program, one month’s notice to the Community Education office (978-266-2525) is required. You will be responsible for 30 days of tuition from the date of notice of withdrawal and your June deposit will be retained as noted previously.
